    Uploading a questionnaire

    Supported formats and the import flow, step by step

    Supported files

    • Excel (.xlsx, .xls) — the most common format for vendor questionnaires, RFIs, and RFPs.
    • CSV (.csv) — UTF-8 encoding recommended.
    • Maximum file size: 25MB.

    New vs. completed

    The Upload page asks which kind of file this is, and it matters:

    • New questionnaire — a blank (or partially filled) questionnaire you need to answer. It becomes a workspace where you and the AI fill in responses.
    • Completed questionnaire — one you've already answered elsewhere. Its question-and-answer pairs go straight into your knowledge base so future questionnaires can reuse them. Nothing to fill in — it's fuel.

    The import flow

    1. Drag your file in (or click to browse).
    2. Choose sheets — Excel workbooks often have instructions or glossary tabs; import only the sheets that contain questions.
    3. Map columns — tell RFI Know which column holds the questions, and optionally which columns hold answers, categories, or notes. A preview shows exactly how rows will be read.
    4. Process — questions are extracted and the questionnaire appears under Questionnaires.

    After processing

    Open the questionnaire to see every extracted question with its status. If something looks off — questions missing or split oddly — see the column mapping guide and the troubleshooting section.
